Driver documents checklist for van work

Get your licence, van and insurance documents ready before starting a Boxra driver application.

A complete application is easier to review.

Before you start, put every document in one place. Check that each image is clear. Check the expiry dates. Check that the vehicle and insurance details match the work you plan to do.

Boxra currently focuses on small moves, furniture pickups, store collections, student moves and eligible light junk runs across its London launch areas.

This checklist explains what to prepare for a Boxra driver application. It is not legal or insurance advice. Your insurer and the relevant public authority can confirm what applies to your own work.

The quick checklist

Prepare:

  • clear images of your driving licence
  • your current vehicle registration, make, colour and van size
  • a clear photo of the van
  • current Goods-in-Transit insurance
  • current Public Liability insurance
  • the expiry date for each insurance policy
  • your London base postcode
  • the days you are normally available
  • the right waste-carrier status for eligible junk jobs
  • time to read and accept the Boxra driver rules

Do not upload cropped, blurred or expired documents.

Driving licence

Boxra needs clear driving licence images so the application can be checked against the vehicle and work offered.

Before uploading:

  1. Put the licence on a plain surface.
  2. Use good light without glare.
  3. Keep every corner in the image.
  4. Check that the name and licence details are readable.
  5. Upload the requested front and back images.

Do not send your National Insurance number through a photo, message or analytics event.

The DVLA provides an official service for viewing or sharing driving licence information. A licence check code is valid for 21 days and can only be used once. Boxra will only ask for information needed for a real check.

Vehicle details

Use the van you genuinely expect to work with.

Prepare:

  • vehicle registration
  • vehicle make
  • vehicle colour
  • the closest Boxra van size
  • one clear vehicle photo

The photo should show the van clearly. Do not use a stock image, an AI image or a photo of a vehicle you do not control.

The registration entered in the application should match the vehicle and the insurance documents.

Goods-in-Transit insurance

Boxra requires current Goods-in-Transit insurance for driver applications.

This cover is intended for customer goods while they are being carried. Policies differ. Limits, exclusions, vehicle details and the type of commercial work covered can all vary.

Before uploading the certificate, check:

  • the policy is current
  • the expiry date is readable
  • the insured person or business is correct
  • the vehicle or vehicle arrangement is correct
  • the cover matches the work you plan to perform
  • the limit is suitable for the goods you expect to carry

Do not assume that a general van policy automatically covers customer goods.

Ask the insurer directly when the certificate or wording is unclear.

Public Liability insurance

Boxra also requires current Public Liability insurance.

Public Liability cover can respond to certain claims involving injury to another person or damage to property during business activity. The exact cover depends on the policy.

Check:

  • the policy is active
  • the expiry date is correct
  • the insured name is correct
  • the business activity described is accurate
  • the level and exclusions are understood

Boxra requiring this cover does not mean every self-employed driver has the same legal requirement in every situation. Confirm your own position with an insurer or qualified adviser.

Base postcode and available days

Boxra uses your base postcode, van and availability to understand which job offers may be suitable.

Enter the postcode where the van is normally based. Do not use an address simply to appear closer to more jobs.

Choose the days you can realistically work. Job volume is never guaranteed. Availability only helps Boxra match genuine customer demand to suitable drivers.

Waste-carrier status for junk jobs

Ordinary small moves and furniture collections are not the same as carrying waste.

Drivers who regularly transport waste in England must have the correct waste-carrier status. Different rules can apply depending on the material and activity. Hazardous waste has additional requirements.

Boxra only assigns eligible junk work to drivers with the required status for that job.

Before accepting junk work:

  • confirm that the registration is current
  • confirm that it belongs to the correct person or business
  • understand what waste the registration allows you to carry
  • use an authorised destination
  • keep the records required for the job
  • decline anything outside the booked or permitted scope

Example: preparing a complete application

Imagine a London van owner preparing to apply for Boxra work.

The driver has a valid licence, a medium van and current commercial van insurance. The Goods-in-Transit certificate is saved as a clear PDF, but the Public Liability certificate expired last month. The driver also wants to accept eligible junk jobs but has not checked the waste-carrier register.

The application is not ready yet.

Before submitting, the driver should:

  1. Renew the Public Liability cover required by Boxra.
  2. Confirm the insurance names and vehicle details match the application.
  3. Check whether the correct waste-carrier status is active for eligible junk work.
  4. Take one clear van photo.
  5. Prepare readable licence images.
  6. Enter the real base postcode and available days.

That short check prevents avoidable review delays without promising approval or job volume.

Boxra driver rules

Documents are only one part of the application.

Drivers must also follow the booking rules.

The customer price is set by Boxra

The driver cannot replace the customer price with a different doorstep price.

Payments stay in Boxra

Drivers must not ask customers for cash or bank transfer.

Changes use a Change Order

When the booked scope changes, the driver requests a Change Order in the app. The customer approves or declines it.

If the customer declines it, the original booked scope stands unless Boxra Support intervenes.

Customer details stay protected

Customer phone numbers and full addresses should only be available where the active job requires them. Do not copy or retain customer information for unrelated use.

Make every upload readable

A technically valid file can still be hard to review.

Use this final check:

  • no blur
  • no glare
  • no missing corners
  • no screenshots of tiny documents
  • no expired certificate
  • no password-protected file
  • no unrelated personal information
  • no mismatch between the application and the document

Keep the original documents. Boxra may need a clearer copy or updated evidence later.

What happens after submission

After the required details and documents are submitted, the application enters review.

Submission does not guarantee approval or a set review time. Boxra checks whether the application is complete and whether the driver, vehicle and documents fit the work currently offered.

Approved drivers can see suitable offers with the route, booked scope and driver payout before choosing whether to accept.
